The ideal candidate will be responsible for ensuring the efficient and smooth operation of the office. This position involves a combination of administrative and organizational tasks to support the overall functioning of the workplace.
Responsibilities
- Provide administrative support to senior staff, including coordinating calendars and answering inbound phone calls.
- Manages and maintains files, records, and correspondence in the Firms CRM system.
- Carries out administrative duties such as filing, typing, copying, scanning etc.
- Manage and coordinate office activities and operations to secure efficiency and compliance with company policies.
- Plan and coordinate all staff events to include birthday celebrations, milestone, and anniversary gifts, etc.
- Handle incoming calls, emails, and other communications, and direct them to the appropriate person.
- Maintain and organize office files, documents, and records.
- Oversee office supplies, breakroom snacks, inventory, and place orders as needed.
- Coordinate and schedule meetings, appointments, and travel arrangements for employees.
- Ensure the office premises are well-maintained and address any facility-related issues.
- Assist in the recruitment process by working with Human Resources to coordinate job postings, schedule interviews, and facilitate the onboarding process for new hires.
- Ensure that office equipment, including computers, printers, and telecommunication systems, are in good working condition.
- Troubleshoot basic technical issues or coordinate with IT support.
- Assist the Client Services team with Client Onboarding
- Coordinate and distribute the company quarterly Newsletter.
- Support the maintenance of the company website and intranet working alongside Human Resources

- Proficiency in office software (e.g., Microsoft Office suite).
- Knowledge of basic accounting principles.
- Ability to handle confidential information with discretion.
Education & Experience
- High school diploma or equivalent; additional education or certification in office administration is a plus.
- 1+ year experience working with a CRM system (Salesforce etc.) preferred.
- Proven experience as an office administrator, office assistant, administrative assistant or in a similar role.
Salary Range: $46,000 – $57,000
